Keep inboxes and product email on one domain

Splitting office mail and transactional mail across vendors splits your reputation. Why the same domain should carry both conversations and product messages.

Most teams accidentally run two email companies. People live in Google Workspace or Zoho. The app lives in Resend, SES, or Mailgun. Both claim @yourdomain.com. Neither can see what the other just did to the domain’s reputation.

That split feels tidy in a spreadsheet. It is messy in DNS, in support tickets, and in the inbox.

One domain, two jobs

The domain has to do two jobs that look different and share a fate:

  • Conversations. Humans writing to customers, vendors, and each other.
  • Product messages. Receipts, resets, invites, and alerts the app must send.

Receivers do not care that you hired two vendors. They see one organizational domain. A sloppy campaign on the marketing tool can make the password-reset look suspicious. A missing DKIM key on the inbox host can break alignment for the API.

What goes wrong when the stack is split

  • SPF becomes a lookup soup. Each vendor adds an include:. You hit the 10-lookup ceiling and start failing SPF on legitimate mail.
  • DMARC reports arrive in a mailbox nobody reads, while the sending tool shows “delivered.”
  • Support cannot answer “did the reset go out?” without a second login.
  • Offboarding a person does not touch the API keys they created in the other product.

You can make a split stack work. You will spend the savings on coordination.

A calmer shape

Keep the visible company domain consistent. Put people and the product behind the same authentication story. If you need a subdomain for automated mail, make it a deliberate child of the same org, not a leftover on a forgotten registrar account.

Then give engineers an API that feels like the tools they already know, and give the rest of the company an inbox that does not require a developer to reset a password.
