Write product email that Gmail can summarize correctly

A practical guide to subjects, preheaders, and plain-text parts so Gmail summaries of receipts, resets, and invites stay accurate.

Gmail will summarize your mail whether you designed for it or not. The useful move is to make the summary true. This is the template checklist. For why it matters, see the first reader of your email is now an AI.

Subject is the title of the summary

Put the event and the object in the subject. Keep it under ~50 characters if you can, but do not truncate the fact to look tidy.

  • Good: Reset your Acme password
  • Good: Invoice 1842 paid — $240.00
  • Bad: Action required
  • Bad: Your account

Do not stuff the subject with the company name twice. Gmail already shows the From name.

First paragraph does the rest

The opener should be readable with images off. One or two sentences: what happened, what to do, by when if there is a deadline.

“Your password reset link expires in 30 minutes. Use it only if you asked for this change.” is a summary. A hero image and a button labeled “Continue” is not.

Put the URL in the text part as a real URL, not only behind a button. Summarizers and some clients strip the button.

Always send a text part

If you use Laravel Markdown mail, you already get one. If you send HTML from a design tool, generate a text part that matches: same facts, same link, no “open this in a browser to see the message.”

Keep one CTA. Extra buttons become extra sentences in the gist, usually wrong.

Facts the model should not invent

Amounts, dates, invoice numbers, and expiry windows belong in text, once, in a boring format. Do not write “two forty” or hide the date in a receipt image. If you localize, keep the number and ISO-ish date next to the words so a parser can still find them.

What to test

  1. Plain-text part alone, out loud.
  2. Gmail web, thread summary on a conversation with two messages.
  3. A client with images blocked.
  4. Forward: does the fact survive without your header chrome?
