Gmail is an excellent personal inbox. It is a weak company address. Customers notice [email protected]. Banks and Google Workspace signups notice it. Your own product mail cannot authenticate as Gmail, so receipts and resets have to live somewhere else.
A custom-domain inbox is not a luxury skin on webmail. It is the identity the rest of email infrastructure hangs on.
What you get from your own domain
- A name people can trust.
[email protected]matches the website and the invoice. - Control when someone leaves. You keep the address, the archive, and the calendar. You do not negotiate with a personal Google account.
- Room for roles.
hello@,billing@, andsupport@can exist without inventing more Gmail nicknames. - A sending identity for the product. SPF, DKIM, and DMARC belong on your domain. They cannot belong on gmail.com.
What Gmail still does well
Search, spam filtering, and the mobile apps are hard to beat. Many teams keep using a familiar client via IMAP or the web while the mailbox itself lives on the company domain. That is the right split: the client is a preference, the domain is the company asset.
Google Workspace and Microsoft 365 sell the same idea at a higher price, with a larger suite attached. If you only need mail, calendar, contacts, and a clean admin story, you do not have to buy the whole office suite.
What to set up on day one
- A domain you control, ideally already on Cloudflare if you want ArawaMail’s guided records.
- MX pointing at your mail host, plus SPF, DKIM, and DMARC. See the authentication guide.
- Named mailboxes for people, and shared addresses for roles.
- A rule for offboarding: who gets the mail, and when the password dies.
- A plan for product mail on the same organizational domain, even if it uses a subdomain such as
mail.northwind.test.
Custom-domain email and Gmail FAQ
Can I use a custom domain with Gmail?
Yes, but a native Gmail mailbox on [email protected] normally requires Google Workspace. Personal Gmail can collect mail through forwarding or another provider’s POP/SMTP settings, but that is not the same as Google hosting and administering the company mailbox.
What does “Gmail with a private domain” mean?
It usually means using the Gmail interface with an address on a domain your company owns. Google calls that product Google Workspace. The domain remains yours; Google provides the mailbox and related workspace services.
Does Gmail host domain email for free?
Personal @gmail.com accounts are free, but Google’s native custom-domain email is a paid Workspace service. Forwarding a company address into a personal Gmail inbox may receive messages, but sending reliably still requires authenticated SMTP or an email provider configured for your domain.
Do I need Gmail to host email on my domain?
No. Any business-email provider that supports your domain can host the mailboxes. Compare mailbox administration, storage, migration, calendars, support, and transactional sending—not only the webmail interface.
Can I keep using the Gmail app with another email host?
Often, yes. The Gmail mobile app supports additional IMAP accounts. Confirm that your chosen provider supports IMAP and authenticated SMTP, then add the account using the server settings it supplies.
Where ArawaMail sits
ArawaMail is business email and transactional delivery in one workspace: custom-domain inboxes, calendars, contacts, and an API for the product. Compare the inbox side with Zoho Mail or Purelymail if you are choosing a host, then create a workspace when you want the sending API on the same domain.
